I documenti di progetto costituiscono un’attività chiave nella gestione di progetto, accompagnando il progetto dall’inizio al suo completamento. La documentazione di progetto infatti:

  • vincola le persone a formalizzare idee e piani, altrimenti fumosi e vaghi;
  • cristallizza, “blinda” la pianificazione;
  • definisce l’ambito del progetto, per ottenerne l’approvazione, assicurandosi così che tutte le parti interessate (stakeholder) e i membri del team di progetto condividano le stesse aspettative su ciò che va realizzato e su quando vada prodotto;
  • fornisce a tutti gli stakeholder un quadro puntuale dei requisiti del progetto;
  • facilita la comunicazione fra i gruppi di lavoro, interni ed esterni;
  • costituisce il riferimento (Baseline) per le attività di monitoraggio e di controllo degli stati di avanzamento;
  • fornisce la verbalizzazione delle decisioni importanti;
  • fornisce le informazioni richieste per gli audit interni ed esterni;
  • contribuisce ad accrescere il patrimonio di conoscenze e memorie dell’organizzazione, costituendo l’archivio storico cui attingere per favorire le possibilità di successo di successivi progetti.

La documentazione di progetto dovrebbe essere inoltre conforme agli standard di qualità dell’organizzazione e del progetto, sia in termini di composizione dei documenti, sia in termini di loro configurazione (stile, formato, modalità di versionamento, ecc.). Soprattutto, la documentazione di progetto deve essere funzionale ai diversi obiettivi di comunicazione), dunque chiara, comprensibile e facilmente reperibile.
